Administration – Manage user groups

After the initial installation the system came with predefined administrator account. For daily usage of the system additional users should be created.

User management is separated into two main areas:

  • Management of user groups
  • Management of users

 

Each user is assigned to exactly one user group and inherits all settings from this group. These settings can be later changed for each specific user (override settings from user group).

To start working with users, user group must be created. Administrators user group is created by default and grants to all assigned users highest privileges.

User group settings are separated to following areas:

General information

 

General information tab specifies basic information and user group privileges:

  • Name – Unique name for identification of user group
  • Description – Text description of user group
  • Admin portal users – Assigned users are able to log in to Admin portal application
  • Shop floor interface users – Assigned users are able to log in to Shop floor interface application
  • API users – Assigned users are able to access ERP receiving interface
  • BI users – Assigned users are allowed to remotely access reporting data
  • Administrators – Assigned users are granted with highest privileges. This setting overrides any setting on AP privileges tab and SFI privileges tab. All restriction to objects coming from Data access, PAG or Cost allocation are still applied for administrator users.

AP privileges

This setting group contains permissions applied for Admin portal application only.

 

AP General  Privileges

 

  • Perform inventory from Admin portal – Privilege to start inventory of open storage device
  • Enable privileges override – Privilege to override user group settings on user level
  • Export – Privilege to export data to Excel
  • Import – Privilege to import data via Excel
  • Manage consignment invoices – Privilege to manage consignment invoices. When off, automatic invoicing cannot be setup on vendor detail, created invoices cannot be accessed, templates for invoices cannot be managed
  • Manage integrations – Privilege to setup sending ERP interfaces, generate/read API keys and manage ready-to-use integrations to third party systems
  • Run tasks – Privilege to start periodic system tasks manually on demand (like recalculation of access rights or generation of reporting data)
  • Access Event log – Privilege to access Event log
  • View item overviews – Privilege to access Item overview, Serialized items overview and Picked items locations
  • Access dashboard – Privilege to view dashboard on AP home screen and pin reports to the dashboard
  • ABC classification – Privilege to access and perform ABC classification of items based on historical consumption
  • Stock optimization – Privilege to access and perform stock optimization based on historical consumption and purchasing schedule
  • Entity privileges [settings group] – Create, read, update, delete specified objects

AP System Settings Privileges

 

  • General settings – Allows access to General settings tab in system settings
  • Stock administration – Allows access to Stock administration tab in system settings
  • Purchase – Allows access to Purchase tab in system settings
  • Access control – Allows access to Access control tab in system settings
  • Stock daily use – Allows access to Stock daily use tab in system settings
  • Diagnostics – Allows access to Diagnostics tab in system settings

SFI privileges

Permissions inside this group are applied to Shop floor interface (SFI) only.

 

 

SFI General Privileges

 

  • Assign items – Privilege to assign/edit assignment of items to stock locations
  • View price – Affect if price of item is shown during picking
  • Perform inventory – Privilege to perform inventory
  • Restock without order – Privilege to restock items without order selected (must be enabled also on vendor)
  • Exit application – Privilege to exit application and access operating systems (related to on-premise installations)
  • Restock – Privilege to perform restock (with and without order)
  • Perform inventory during restock – Privilege to allow confirmation or change of quantity in location during restock process. Requires also permission for Restock. Independent on permission to Perform inventory. See inventory during restock for more details.
  • Update SFI application – Privilege to start update of SFI application
  • Setup locations – Privilege to manage storage device structure. Affects if user is allowed to:- create new locations in open storage devices- create new locations in Lista LDC drawers- setup shelfs for Sielaff ASK200- setup locations for AutoCrib TX750

 

SFI Picking Privileges

 

  • Pick items – Privilege to pick items without predefined pick list
  • Pick predefined pick lists – Privilege to pick items according predefined pick list
  • Pick items with Phase in status – Privilege to pick items in Phase in status. Once granted, items with this status will be shown in list of items for pick. Permission Pick items is still needed to allow start the pick flow.
    If this permission is not granted, it is still possible to pick item in Phase in status during phasing in of alternative items.
  • Override pick rules – Privilege to select condition of picked item (new/used/refurbished)
  • Override cost allocation rules – Privilege to override all restrictions coming from cost allocation setup
  • Change quantity during pick – Privilege to change picked quantity taken from a location, after this location is accessed. Operator can increase/decrease quantity picked, without limitation of dispense package size and Product Access Group restrictions for quantity or value. Option will be available during all picking operations (regular pick, pick for transfer and pick for service). Changing of picked quantity is possible only for picks made on open storage devices.
  • Cancel picking – Privilege to interrupt picking flow at any stage by pressing cancel button. If not granted, the cancel button will not be visible to an operator and operator must always finish the picking flow (including also KARDEX machines, where operator cannot use cancel option directly on machine’s control panel).

 

SFI Returning Privileges

 

  • Return as used – Privilege to return durable items as used
  • Return as not used – Privilege to return all items as not used (cancel pick)
  • Return for service – Privilege to return durable items to service location
  • Return as scrap – Privilege to discard picked item
  • Return for recycle – Privilege to return all items to location set for recycle

 

Revoking all SFI privilege will result in no action available for user on SFI (Shop Floor Interface)

 

Data access

Data access enables to select specific objects, which will be accessible by user. If restriction is set (Restrict xxx access is selected), assigned users will be able to work only with objects selected bellow. Objects not specified will be hidden.

 

 

Following restrictions are available:

 

Stock access

Restricts access to selected stocks. All devices from stocks not selected will be inaccessible from Admin portal and user cannot log to SFI on these devices.

Device access

Restricts access to selected devices. All devices not selected will be inaccessible from Admin portal and user cannot log to SFI on these devices.

Report access

Restricts access to selected reports. All reports not selected will be inaccessible from Admin portal.

Vendor access

Restricts access to selected vendors. All vendors not selected, items assigned to these vendors and all orders/lists related to vendors not selected will be inaccessible from AP and SFI.

User group access

Restricts access to selected user groups. All user groups not selected will be inaccessible from AP.

To enable access to all objects again, uncheck Restrict xxx access check box and save user group.

Users

This list contains all users assigned to user group. User detail can be opened from the list or new user can be created for this user group.

Product access groups (PAG)

This list contains all product access groups assigned to this user group. Detail of selected group can be opened or new group can be created.

Cost allocation

Cost allocation tab shows all cost allocation of hierarchy type defined in the system with information, if users of this user groups are able to select specific cost allocation during picking process. Each cost allocation can have following states:

  • (No icon) – Units with no user restrictions are displayed as normal text. All users can select this unit during picking
  • Units where this user is assigned are displayed in bold (when unit has some users assigned, only these users can select this unit during pick)
  • – Units with users assigned where this user is not referred are displayed in gray with cross icon. To enable selection of such units during pick, assign user to the unit or remove assignments of all other users.
  • – Units with no restrictions to users which are not accessible due to restrictions in parent units are displayed in gray with dash icon. To enable selection of such units, assign user to parent units where this user has no access

Users can be assigned or removed from specific unit by selecting the unit and use of following options:

Assign user to selected unit. After assignment unit is marked in bold

Remove assigned user from selected unit

Open detail of selected unit

 

Note that when user is assigned to unit with no restriction (marked as non-bold black text), no other user will be possible to select this unit unless he is assigned also

 

In this tab only complete hierarchies are shown, more information about cost allocation hierarchies can be found in a separate article.

 

Any changes made to CA restrictions can take several minutes before they will be applied
